How we collect, use and protect your personal information
Last updated: 23 August 2026
This policy explains how Virtual Greens, trading as Virtual Greens, handles personal information. We are bound by the Australian Privacy Principles in the Privacy Act 1988 (Cth).
What we collect
- Contact details — your name, email address and phone number, when you make a booking, submit an enquiry or subscribe to our newsletter.
- Booking information — the sessions you book, the dates and times, group size and any notes you give us.
- Payment information — processed by our booking and payment providers. We do not store your full card details on our servers.
- Website usage data — pages visited, approximate location, device and browser, collected through analytics cookies where enabled.
Why we collect it
- To take, confirm, reschedule and refund bookings.
- To respond to your enquiries.
- To send you booking confirmations and reminders.
- To send marketing emails, where you have subscribed. Every marketing email includes an unsubscribe link.
- To understand how the website is used and improve it.
- To meet our legal and record-keeping obligations.
Who we share it with
We do not sell your personal information. We share it only with the service providers we need to run the business, including:
- our online booking platform, which stores your booking and contact details;
- our payment gateway, which processes payments and refunds;
- our email and analytics providers.
Some of these providers store data outside Australia. We take reasonable steps to ensure they handle your information consistently with the Australian Privacy Principles.
Cookies and analytics
Our website uses cookies to keep the site working and, where analytics is enabled, to measure how the site is used. You can block or delete cookies in your browser settings; some parts of the site may not work as well if you do.
How we store and protect it
Personal information is held in our booking platform and email systems, protected by access controls and encrypted connections. We keep booking and enquiry records for as long as we need them for the purpose collected and to meet our legal obligations, then delete or de-identify them.
Accessing, correcting or deleting your information
You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. Email info@virtualgreens.com.au. We will respond within 30 days.
Complaints
If you believe we have mishandled your personal information, contact us first at info@virtualgreens.com.au. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
